Comparison
QuickBooks is the default for small-business invoicing and payments. It sends reminders, and Intuit now markets AI-drafted ones. Mugavi sits on top of Xero (production-ready today) or QuickBooks (integration in beta) to add AI tone-aware follow-ups, AR aging, cash-flow forecasting, and risk scoring, without forcing you to migrate.
QuickBooks facts read on 2026-10-03 from quickbooks.intuit.com/pricing. The Intuit Assist reminder feature is taken from Intuit announcements, not tested by us. Prices and features change; if something here is out of date, tell us.
Scope: Compared against AR/invoicing tools evaluated by 5-30 person agencies and consultancies. Enterprise AR platforms (Gaviti, Growfin, HighRadius) are excluded — they target $50M+ ARR ERP-first orgs. See vs FreshBooks or the full comparison list for the others.
Last verified: Chaser, BILL, Melio, QuickBooks and FreshBooks on 2026-10-03 (Chaser: $259 a month billed monthly on its USD pricing, priced by revenue band; QuickBooks and FreshBooks: list prices before first-months promotions). Rows on set-up time, support, payment plans, multi-currency and analytics depth are not on those pages and were not re-checked. Sources are the public pricing pages (Chaser, BILL, Melio, QuickBooks, FreshBooks). Pricing/features change; if you spot something stale, tell us.

QuickBooks now lets you choose when overdue invoices get flagged and lines up AI-drafted, ready-to-send reminders for you to review. Intuit says customers using it get paid four days faster on average (Intuit's figure, for US customers). It is in beta on the Essentials, Plus and Advanced plans, and comes with your QuickBooks plan. If you run one business on one of those plans, try it first.
What Intuit's public pages do not describe a way to do, as of the date above:
Mugavi does those three things on top of QuickBooks, and lists every client book in one table. It cannot switch off QuickBooks' own emails: that setting belongs to QuickBooks.
These come from posts in QuickBooks user forums over the past year. We have not reproduced each one, and QuickBooks changes its settings often, so treat them as reports.
Mugavi holds each reminder for your approval by default, lets you pause any customer, and stops reminders for an invoice while a customer's reply is waiting for you. You can limit sending to your business hours, and send from your own domain once you have verified it with a few DNS records.
QuickBooks is the default because it owns the small-business bookkeeping workflow and cross-sells from there.
QuickBooks users already have their customers, invoices, and books in one place, so Payments is the obvious next click.
Intuit's ProAdvisor program turns bookkeepers and accountants into a massive unpaid salesforce for QuickBooks products.
"It's QuickBooks" is enough for many SMBs. Decades of market presence make it the safe default.
No monthly fee for basic payments means it wins on simplicity.
